The Role

This role will oversee the daily operations of the office and will provide administrative support to the CEO and senior leaders. We are seeking someone with excellent organizational and communication skills and can handle confidential information with discretion and utilize significant amounts of independent judgment. This individual will be proactive and adaptable within an evolving and dynamic organization. This is a full-time, exempt position located in Houston, TX.

Key Responsibilities

Office Management

· Visitor reception, telephone screening, managing mail and packages, shipping label/packing, catering coordination, scheduling group meetings, training, and organizing company events.

· Ensure the general upkeep and “look and feel” of the office

· Serve as the key point of contact for main office vendors, such as maintenance, supplies, equipment repair. Monitor office machines and systems, and problem-solve issues as needed

· Monitor and maintain inventory of necessary office supplies; order supplies as needed to keep basic supplies stocked, and to fulfill special requests from staff

· Develop, communicate and oversee implementation of office operations, policies and procedures.

Executive Support

· Maintain calendar for CEO and assist with schedule management for other senior leaders as needed

· Schedule and maintain travel itineraries

· Track expenses and prepare expense reports for reimbursement and billing

· Draft, review and distribute communications and other correspondence and documents on behalf of senior leaders

· Manage organizational communication, scheduling and logistics for client meetings and key internal events such as leadership meetings

  • Other administrative duties as needed

Basic Qualifications:

· A minimum of five (5) years’ experience in an administrative support role, preferably at the senior level

· Undergraduate degree or equivalent experience

· Excellent computer skills; proficient or advanced skill in Microsoft Suite (Word, Excel, PowerPoint, and Outlook) and experience with data management

Required Skills:

· A self-starter with a high degree of energy and careful attention to detail; strong sense of initiative and a process-improvement mindset

· Highly flexible, creative problem solver, with a strong ability to multi-task

· Excellent oral and written communication skills

· Execute and exhibit good judgment

· High level of professionalism

· Superb organizational and time-management skills

· High tolerance for ambiguity, changing work priorities and deadlines, and a willingness to take on responsibilities and to prioritize own work

Compensation:

The wage range for this role considers a wide range of factors considered in making compensation decisions including skill sets; experience and training; level brought into EFESO, licensure and certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At EFESO, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. The salary range for this is $55,000 - $70,000 USD
