Established in 1965, the Claire Trevor School of the Arts (CTSA) at the University of California, Irvine (UCI) has been a national leader in training emerging artists and performers. The school serves as UCI's creative engine, dedicated to cultivating the artistic talents of over 820 undergraduate majors and 125 graduate students. Through a fusion of liberal arts principles, critical thinking, and hands-on experiences, CTSA empowers students to create, explore, and innovate in the realm of the arts.

At the core of CTSA's philosophy is the integration of creativity and technology across its diverse degree programs in Art, Dance, Drama, and Music. Additionally, the school serves as the public-facing entry to the university, hosting over 200 performances and exhibitions annually. This forward-looking approach ensures that students not only master the fundamentals of their craft but also engage in interdisciplinary collaborations that extend into the business community.

Your Role on the Team

The Development Coordinator role is a unique opportunity for a detail-oriented individual to be a pivotal team member in a fast-paced, highly professional environment within The Claire Trevor School of Arts (CTSA) at UCI. This individual is a self-starter and will provide high-level administrative support to the Executive Director of Development and CTSA advancement team. Areas of responsibilities include coordinating administrative support for the Claire Trevor Society membership program and support groups, proposals, donor relations activities, project management, coordination of development marketing activities, and special events. Other areas of support include gift administration, donor stewardship, and financial administration. The Development Coordinator will interface with academic leadership including the Dean of the Claire Trevor School of the Arts, campus administrators, faculty, students, patrons, alumni, university neighbors, community groups and volunteers. The Development Coordinator is an individual that can effectively communicate and engage with internal and external parties and is invested in furthering the mission of CTSA.

The expected pay range for this recruitment is $59,000- $69,150 (Annual).

Required:

  • Good written and interpersonal communication skills to establish and maintain good working relationships throughout the campus and with external constituencies.
  • Good organizational, analytical and critical thinking skills.
  • Skill to maintain confidentiality.
  • Ability to make decisions without close supervision, and must be accurate, efficient and capable of handling detailed work assignments.
  • Willingness to take direction from multiple sources while maintaining a professional demeanor.
  • Ability to learn financial processing system and remain up-to-date on all policies and procedures. Demonstrate skills necessary to monitor expenditures and perform budgetary projections, requests, and reports.
  • Proficiency with computers and office equipment including Microsoft Word, Outlook, Excel, and Power Point.
  • Skill to develop reports, proposals and external relations materials.
  • Proven excellent organizational skills. Demonstrated ability to prioritize workload, meet deadlines, and work with frequent interruptions under constantly changing priorities.
  • Proven level of outstanding professionalism in providing executive assistance to supervisor including: scheduling meetings, coordinating all travel and lodging arrangements, liaison to faculty and staff, prioritizing incoming mail, screening telephone calls and general office management.
  • Demonstrated knowledge of records management including the proven ability to develop and maintain a system to track and update a variety of information including and an accurate detailed calendar. Demonstrated ability to operate office equipment proficiently.
  • Interest in learning and growing in a fundraising environment.
  • Bachelor's degree in related area and / or equivalent experience / training.
  • 3-5 years of experience with office administrative management, preferably in a development setting, and 1-2 years coordinating special events.




Preferred:

  • Use initiative to organize and follow through with complex tasks to meet deadlines.
  • Strong ability to write clear, concise reports, correspondence and public relations materials with minimal direction. Strong ability to review, rewrite and edit all correspondence, from letters to emails, prior to dissemination.
  • Experience in independently planning all aspects of special events including developing and managing a budget.
  • Knowledge of UCI policies and accounting forms such as invoices, travel vouchers, purchase orders, and check requests.
  • Knowledge of the arts, CTSA, UCI and University Advancement programs, policies and procedures.
  • Knowledge of university advancement programs in a higher education setting, including Kuali Financial System (KFS), GiftForm Access, and Salesforce.
  • Familiarity with Adobe Creative Suite.




Special Conditions:

  • Must possess a valid California driver license and participate in the DMV Pull Notice Program.
  • Flexibility to work nights and weekends if needed.
