Job Summary:

Provide a full range of administrative and secretarial support for the School of Cyber & Decision Sciences, assisting the School Director, faculty and staff.

Duties and responsibilities

Ability to independently handle multiple work unit priorities and projects under general supervision. Responsibilities include, but are not limited to, preparing course schedules, inputting data into Courseleaf Section Scheduler (CLSS) and PeopleSoft, issuing permits, updating course offerings, scheduling course offerings with current information (including instructors, times, rooms), arranging adjunct lecturer appointments, generating contracts, and arranging for office space and keys, etc.

Address a wide range of problems by interpreting policies and procedures to provide comprehensive student services support, offering guidance and information to prospective, new, current, and alumni students.

Utilize detailed knowledge of applicable university infrastructure, policies, and procedures to provide administrative support to the Information and Decision Sciences (IDS) Department, effectively responding to student, faculty, and university staff inquiries.

Maintain IDS department office inventory and purchased supplies (office, educational, and software items) using a requisition or corporate card. Complete disbursement paperwork for business activities and events. Submit department duplication or printing requests and initiate work orders for department or building areas in need of repairs. Ensure well-functioning air conditioning and request keys for faculty as needed. Maintain an ideal work environment.

Assist in coordinating student registration processes and enrollment priorities.

Provide administrative support for the IDS department's marketing and publicity efforts across all its programs by coordinating events, attending job and student recruitment fairs, and other IDS marketing efforts.

Provide administrative support to departments regarding purchasing, reimbursements, and corporate card monitoring, including monthly corporate card reconciliation.

Assist in coordinating faculty recruitment for tenure track & adjunct positions by placing faculty job announcements to various platforms, maintain all hiring paperwork, and scheduling campus visitation activities. Maintain records and files for students, faculty, and recruitment evaluations and assist School Director in preparing attachments to offer letters.

Monitor faculty professional development funds and expenses.

Other classification related duties as assigned.

Minimum Qualifications:
  • High School diploma or equivalent
  • Three years of progressively responsible experience in general office clerical or secretarial work or the equivalent


Required Qualifications:

  • Experience to be fully functional in all technical aspects of work assignments.
  • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

Compensation and Benefits:

Anticipated Hiring Range: $3,916 - $4,167 per month

Classification Salary Range: $3,864 - $6,072 per month

The salary offered will take into account internal equity and experience among other factors.

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:

Full-time Non-Exempt Temporary (up to one year with the possibility of further renewal)

Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

This position is a "designated position" in the California State University's Conflict of Interest Code. The scope of responsibilities for this position includes making or participating in decisions that may have a material financial benefit to the incumbent. Therefore, the individual holding this position is required to file an initial Conflict of Interest: Statement of Economic Interests ("Form 700") within thirty (30 days) from the date of hire and on an annual basis. In addition, the individual holding this position must complete the required conflict of interest training within thirty (30) days of their appointment and at least once during each consecutive period of two calendar years following the appointment, subject to the Fair Political Practices Commission regulations.
